Step-by-step instructions for registering an organization in the EU to apply to RP HORIZON2020

Obtaining a participant identification number (PIC).

PIC is a 9-digit identification number of the participant (organization) submitting the application to RP HORIZON2020.

The PIC is assigned to a legal entity only once. This number is entered in the application form HORIZON2020, without it the application is impossible. You can get a PIC regardless of the application at any convenient time.

Check if the organization has already been registered

Upon successful completion of all previous steps, you will receive a 9-digit Member Identification Number (PIC) at the end of registration.

Appointment of an official representative of the organization (LEAR- Legal Entity Appointed Representative)

LEAR is the official representative of the organization and the main contact person with the representatives of the European Commission.

The appointment of LEAR is necessary to make changes to the details of the organization, legal and financial data. Such access is granted to the organization once, by appointing a representative from the organization

After registration of the organization in the "My Organizations" section you need to select "Modify Organizations"

The section fills in the data on the responsible representative and three documents (cover letter, letter of appointment of the responsible representative and agreement with the rules)

The system automatically checks the availability of the responsible representative of the personal account on the website of the European Commission by e-mail (https://webgate.ec. europa.eu/cas/eim/external/register.cgi)

After receiving the documents and their approval, the European Commission sends a PIN code to the official representative by mail. Step-by-step instructions for obtaining the identification number D-U-N-S

The D-U-N-S (DANS) number is a 9-digit identification number that is assigned to each company that enters the Dun & Bradstreet (D&B) database and remains unchanged forever.

It is recommended for use and is needed in the work of more than 50 world, industrial and trade organizations, including the United Nations, the US Federal Government, the European Commission. Registering your company in the D&B catalog is the first step towards obtaining confirmation of your company's reliability from a reputable international organization.

Select a country, where the organization is physically located

Fill out and submit the form

When filling out the form, organizations must provide the following information:

  1. Name and organizational and legal form of the organization
  2. The name under which the organization usually conducts business activities
  3. Address of the actual location of the organization
  4. Mailing address
  5. Phone number
  6. Fax number
  7. Name of contact person
  8. Number of employees
  9. Description and code of economic activity (see https://www.osha.gov/pls/imis/sicsearch.html)
  10. The volume of annual financial turnover
  11. Name and address of the parent company (if the organization reports to it)

NOTE: By receiving a D-U-N-S number, D&B places your organization on their marketing list, which is sold to other companies. If you do not want your organization to be included in this marketing list, you should ask not to be listed when you apply for the D-U-N-S number.

As a rule, organizations go through the registration process within one day and receive the D-U-N-S code by e-mail. The number will be activated only a few days after registration. If you have any technical problems receiving the D-U-N-S code, please contact D&B - govt@dnb.com.

A brief description of the SAM registration procedure

The SAM.GOV system is a government register of partners that cooperate with the US federal government.

This register requires annual re-registration. The system collects information about organizations that are applying for a grant or have already received it. If the basic information about the organization has changed, similar changes should be made to the system. Registration services are free - there is no charge for registering or maintaining an account in the system.

Create an individual SAM account: To activate it, be sure to confirm your email address afterwards log in

Complete the registration procedure

  1. On the Business Information page, you will need to create a Marketing Partner Identification Number (MPIN). Write it down - in the future MPIN will be used as a password to log in to other information systems of the US Government.
  2. If you do not pay taxes in the United States, you do not need to enter a TIN number or select a TIN type. Leave these fields blank.
  3. Use only the NCAGE code you received for the corresponding DUNS number. Remember that the name and address given in the NCAGE and DUNS records must be the same.
  4. On the "General Information" page, be sure to select the type of structure that has foreign owners and is located outside the United States ("Foreign Owned and Located").
  5. Because your structure is foreign, you do not need to provide details for electronic funds transfer (EFT) on the "Financial Information" page. If you want to specify them, these details must be in an American bank - the details of foreign banks are not acceptable to the system. On this page, only the remittance name and address fields are required for you.

After checking all the information entered, click "Submit"

A Congratulations message will appear on the screen. If it is not, it means that the information was not provided. What's next?

  1. In the "Points of Contact" section, provide the names of those employees of your organization who are informed that the organization is registered with SAM and why it wishes to cooperate with the US Government. These employees will be considered contact persons.
  2. After approval by the U.S. Internal Revenue Service (IRS) (if you have entered a TIN) and the NATO Commercial and Government Accounting System (CAGE), you will receive an email. mail from sam.gov stating that your registration is activated

We recommend that you leave enough time before the application deadline. From the time of submission, the SAM registration process can take up to 10 days, after which it takes another 24 hours for your record to become recognizable on other US Government information systems (eg grants.gov).
